How can I use the Windows Backup Utility to back up Microsoft Exchange and other open files?

You can schedule Windows Backup Utility to generate daily backup "snapshot" files of Microsoft Exchange and other client-server or system-state files that stay open. Then simply select that file to backup with Remote Data Backups. To do so:

  1. Open Windows Backup Utility (Start / Programs / Accessories / System Tools / Backup). The Backup or Restore wizard starts by default, unless it is disabled. Click Next to start the Wizard.
  2. Select the "Back up files and settings" radio button (default) and click Next.
  3. Select the "Let me choose what I want to back up" option and click Next.
  4. Browse to the file / folder you want to backup, click the box to the left of it, and click Next.
  5. Click the "Browse" button to the right of the "Choose the place to save your backup" pulldown, then browse to the location where you want to save your backup file. We recommend saving it in the same directory as your data file (i.e. "C:/Program Files/Microsoft Exchange/" for exchange) for convenience. Name the file "RDB.bkf" in the file name box, click Save, then Next.
  6. Click the Advanced button to schedule backups. Select "Daily", and click Next.
  7. Select the "Verify data after backup" option. Then click Next.
  8. Keep the "Append this backup to the existing backups" option, then click Next.
  9. Click the Later option, then enter a job name (i.e. RDB), and click Set Schedule.
  10. Select "Daily" in the Schedule Taks pulldown, then set the start time 1-2 hours before Remote Data Backups is scheduled to run. A dialog box may popup asking you to enter your Windows username and password for permission to set the schedule. Click Ok, then Next, and Finish.
  11. Once Windows backup has run to generate the backup file, Open Remote Data Backups to make sure it is selected. Under the Go menu, click Backup View / Explore to Pick Files. Click C / Program Files / Microsoft Exchange / and click the box to the left of "RDB.bkf", choose "All files of this type in this folder", and Ok.
  12. Be sure to run a backup or two and verify you can successfully retrieve and restore your files.
